Assignment rules
Decide who gets each new lead — ordered rules, round robin, weighted and load-balanced methods, caps, shifts and the simulator.
Updated 5 Oct 2026
What you need
- Permission to manage lead routing (Owner or Admin by default)
- Your team invited, with branches and shifts where they matter
Assignment rules give every new lead an owner within seconds of it arriving. Rules are checked in order and the first match wins. Without rules, new leads go to their source’s default owner or wait in the pool.
Create a rule
- Go to Settings → Leads → Assignment rules and add a rule. Start with one rule for everyone, then add specific rules above it.
- Conditions — which leads it takes: source, campaign, lead type, project, budget, BHK, localities, language, enquiry channel, branch, time of day. No condition means every lead.
- Members — who can receive them.
- Method:
- Round robin — in turn, fairly.
- Weighted — some members get more (weights per member).
- Load-balanced — whoever has the fewest open leads.
- Availability, Sticky owner and Pool — on shift only, the person who handled them before, or hold in a pool to be claimed.
- Caps — leads per member per day or per hour, and skip members holding too many never-called leads.
- Outside hours — Hold the lead and assign it when the shift starts, or assign anyway.
- Save. Switched-off rules are skipped; leads they would have taken fall through to the next rule.
Members’ routing profiles
The Team tab holds what the rules read about each person: languages, specialisations (resale, rentals, projects), service localities, lead capacity and shift. Matching can prefer members who fit (then everyone) or require them. Shifts come from each member’s profile, else the company hours.
Test with the simulator
The simulator shows what the rules would do for a lead you describe, or for an existing lead — every rule in order, the candidates with today’s numbers, and the winner. Nothing is assigned. Try 22:00 on a Sunday to see your outside-hours policy.
The assignment log
Every assignment, hold, rotation, claim and hand-over is in the assignment log, with the reason — rule, fallback member, source default, held outside hours, rotation, claimed from a pool or manual.
